The Center for Public Safety Excellence® (CPSE®) is currently recruiting for the position of CFAI (Commission on Fire Accreditation International) and Events Administrator. This position is full-time and will replace the individual who is currently serving in the role and will be retiring in May 2024. The successful candidate will have the opportunity to work remotely. The CFAI and Events Administrator is responsible for the daily administrative tasks of the agency accreditation program as well as assisting with the administration of CPSE events. The ideal candidate will have a minimum of five years of progressively responsible experience in administrative support and customer service as well as experience in events coordination, excellent computer skills, is organized, and takes initiative.
Specific responsibilities include:
Serving as point-of-contact for general CPSE and CFAI phone calls.
Responsible for processing accreditation applications, communicating with customers, and creating and maintaining CPSE database and SharePoint sites.
Collects and communicates annual compliance reports (ACR) with agencies and ACR reviewers.
Initiates, updates, and maintains customer database.
Corresponding with customers by phone, email, and mail, as needed, for CFAI activities.
Administering SharePoint access for those involved in CFAI activities.
Making travel arrangements for peer teams as needed.
Maintaining DoD site visit budget tracking spreadsheet.
Coordinating all CPSE Excellence Conference and Summer Symposium logistics as assigned including but not limited to meal events, exhibits, hotel and meeting room assignments, audio visual, and materials ordering and shipping.
Coordinating CPSE participation in all non-CPSE conferences including but not limited to booth space selection, registering CPSE attendees, and ordering electrical and furniture.
Managing onsite logistics and planning staff involvement at the CPSE Excellence Conference.
Coordinating sponsorship activities including but not limited to organizing and running sponsored webinars.
Providing office support including but not limited to such tasks as answering phones, checking general email accounts, and fulfillment of merchandise related to the CFAI program.
Providing skilled office services in production of correspondence, presentations, meetings, and marketing materials.
Assisting with other corporate operations, as needed.
Minimum of five years of progressively responsible experience in administrative support and customer service as well as experience in events coordination.
Excellent knowledge of, and ability to use MS-Office products, SharePoint, and database software.
