The Texas Society of Architects is seeking a full-time Operations and Events Coordinator for its operations. The Operations and Events Coordinator will ensure the successful execution of in-person, hybrid, and virtual events. Additionally, they will manage the smooth operation of the TxA office. The Operations and Events Coordinator, as the office's first point of contact, will provide excellent customer service to all stakeholders. This role is multi-faceted, combining office manager and program responsibilities. The TxA office operates in a team-oriented environment with a strong focus on member service. 

Job Responsibilities Include:

• Monitor, manage, and order office supplies, including stationery, appliances, and equipment
• Respond to website inquiries and requests, phone calls, and emails, directing them to the appropriate staff
• Coordinate and schedule meetings, including arranging rooms, equipment, and ordering/setting up refreshments
• Develop and prepare communications and documents, including letters, memos, project summaries, agendas, minutes, and other materials
• Receive, sort, and distribute incoming mail and process and prepare outgoing mail
• Oversee office maintenance and coordinate contracts with facilities vendors
• Assist in membership administration through monthly member reports, new member emails, renewals, and serve as point of contact for all member inquiries
• Work with the Senior Director and Director of Conferences and Meetings to implement events to support TxA’s professional development programs, specifically the Design Conference and TxA’s Annual Conference & Design Expo
• Assist in event planning and execution including registration, logistics, special events, and presenter and exhibitor management
• File and monitor continuing education credit for professional development events
• Provide timely customer service to member and conference registrant inquiries
• Assist in maintaining the interoffice event calendar
• Other duties as assigned

Required Skills and Qualities:

• Bachelor’s degree and experience in an administrative, client-facing role is preferred
• A passion for learning new technologies to improve work performance
• Excellent skills in organization, prioritizing tasks, and attention to detail
• Work well in a collaborative team, as well as independently, with the ability to self direct as needed and be proactive in completing assignments
• Strong customer service skills with effective and professional communication abilities
• Must maintain confidentiality and demonstrate strong decision-making skills
• Proficiency with Microsoft Office Programs (Word, Excel, Outlook, and PowerPoint)
• Knowledge of Quickbooks, Cvent, and Excel is a plus
• Ability to occasionally travel to events outside normal business hours; occasional travel to event and meeting locations outside office
• Interest in architecture and design is a plus
• Position is in Austin, TX, and is primarily in-office with hybrid flexibility
