About the Position:
The Member Services Coordinator is a vital member of the team, ensuring superior customer service to all association members, managing front office operations, accurately maintaining membership records, and efficiently collecting member dues. Reporting to the COO and collaborating with the Controller, this position performs a wide variety of administrative support functions with minimum guidance, frequently in a confidential fashion. The successful candidate will act as the central point of contact for all association members, playing a primary role in promoting a professional image and the ACAR brand. This position offers an excellent opportunity for a customer service/administrative professional to own their duties without micromanagement while having access to experienced leadership for support.
Job duties and responsibilities: Include but not limited to:
Answers membership phone calls, helps with questions, aids in problem-solving, and addresses concerns promptly and effectively.
Assists with new member applications.
Maintains an accurate member database and promptly records all additions changes, and terminations.
Inputs all new members into the database system and develops monthly reports of new, and terminated members for Board of Directors.
Keeps members’ information current in membership database and M1 system
Maintains and serves as the main point of entry for membership database.
Ensures COO is informed of any problem with the system or membership.
Processes new REALTOR® and Affiliate members for ACAR, including processing newly licensed agents, collecting necessary applications, application fees, local, state and national dues, copy of license, and letters of good standing.
Advises MLS of new members, transfers, license returns, and membership record changes.
Compares MLS and ACAR rosters on a regular basis; researches and corrects errors.
Creates monthly new member report.
Corrects errors generated by M1.
Generate and mail monthly office statements.
Generates local, state and national dues billing bi-annually.
Generates quarterly/annual CIE dues billing.
Prepare and submits dues transmittal information to OR and NAR.
Collects and submits REALTOR Emeritus applications to OR and NAR on a semi-annual basis.
Works with walk-in customers to address their membership questions.
Assumes any other responsibilities that may be assigned by the CEO.

Experience:
Qualified individuals will have a minimum of 10+ years of hands-on experience in collections, accounts receivable, and/or accounting reconciliation, preferably within a member-based or customer service setting. Significant experience communicating with a high-volume customer base across varying demographics is required. The successful candidate should have significant experience utilizing Microsoft Office applications, Customer Relationship Management (CRM) software, and preferably accounting software. Advanced skills in written communication, verbal communication, and de-escalation techniques are essential skills for this role. This position requires an individual with an outstanding commitment to customer focus, goal achievement, planning and organizing, self-management, as well as diplomacy and tact.
Education
High school diploma or equivalent required
Associate’s or Bachelor’s Degree preferred, but not required

Schedule: Monday through Friday, 8:00 am – 4:30 pm
