The American Society of Ophthalmic Administrators (ASOA) is the premier organization for the business side of the ophthalmic practice whose mission is to empower ophthalmic leaders to elevate the business of ophthalmology through education, innovation, support, and collaboration. Serving practice administrators, managers, physicians, and practice management staff, ASOA offers avenues for personal and professional growth and provides support, tools, and resources for the daily challenges of managing a practice. ASOA is a strategic partner of the American Society of Cataract and Refractive Surgery (ASCRS).
Job Duties & Responsibilities:
Under direction of the ASOA Executive Director, plans, executes, and achieves successful completion of assigned tasks providing appropriate tracking and reporting when required.
Program coordination for, and execution of, the ASOA annual meeting (approximately 1,000 attendees). Includes hands-on management and implementation of the submissions process, course review and selection process in conjunction with the ASOA program committee, program scheduling, acceptance/rejection letters, and online abstract editing/coordination.
Work with the ASCRS/ASOA staff to establish timelines, communications, and deliverables for the ASOA Program
Serve as staff liaison for the ASOA Program Committee
Serve as staff liaison to vendor partners for conference database, content delivery system, presentation management system, audio-visual, app developer, etc.
Submit ASOA’s Program content to web content manager, to include materials collection, format/structure, deadlines, program information
Analyze and report on ASOA’s program metrics for future program decision-making
Serve as point person for all communications with speakers, invited guests, facilitators, etc. including notifications, schedule changes, upload of handouts, etc.
In conjunction with the ASCRS Meetings Department, plans and organizes all annual meeting logistics including housing, special registrations, food/beverage requirements, AV requirements, room setups, special ASOA events, and all related annual meeting activities.
Secure Continuing Education credits from appropriate entities in a timely fashion.
Work with internal Marketing and Communications staff to ensure correct information is included in all preview, on-site, and on-line meeting publications.
Handle program and logistics coordination for smaller ASOA meetings (1-2/year). Includes venue contracts, AV, F&B, travel, coordination of speakers, handouts, etc.
Assists ASOA team members with administrative duties as assigned.
Experience, Knowledge and Skill Requirements:
Associate degree or equivalent experience; Bachelor’s degree preferred.
3+ years of meeting and program planning experience
Ability to work on multiple projects simultaneously
Ability to prioritize, adjust priorities as needed, and meet deadlines
Ability to interact tactfully, but in a goal driven manner, with large volunteer contingency
Strong organizational and problem-solving skills, with a keen attention to detail
Ability to read, interpret and logically apply information
Excellent written, proof reading, and oral communication skills
Ability to work in a team environment, but also be a self-starter, demonstrate initiative, have excellent interpersonal skills, and think outside the box
Proficiency in Microsoft Office Suite and willingness to learn other software systems as required. Experience with online abstract submission programs a plus.
