AACC, a DC-based dynamic, international scientific/medical society of clinical laboratory professionals, physicians, and research scientists focused on clinical chemistry and related disciplines, is seeking a Meetings Coordinator.
Reporting to the Meetings, Manager, the Meetings Coordinator provides support and coordinates meeting activities for AACC’s Annual Scientific Meeting (ASM). The Meetings Coordinator also provides logistical and planning support for smaller conferences and meetings as coordinated by the Meetings Department.
Coordinates specific requirements for assigned AACC meetings and conferences.
Serves as point of contact for supplying meeting profiles and other information to suppliers, including hotels, convention, and visitors’ bureaus (CVBs). This is done by creating function books and other reports for meetings.
Prepares planning committee and council meeting and conference call minutes.
Works with Director of Meetings and Meetings Manager to prepare and maintain "Function Book" for annual meeting, coordinating food and beverage and equipment rental requests.
Works with Director of Meetings and Meetings Manager to produce final "Function Book" for distribution to vendors such as hotels, convention centers and convention and visitors’ bureaus (CVBs).
Oversees the travel program; distribute travel memos for AACC funded travel; approve all staff airline tickets when needed.
Assists manager as needed in development of RFPs, comparison, and analysis of department proposals (hotels, service contractors, other vendors).
Assists manager with assigning meeting space for affiliate organizations.
Acts as on-site liaison between headquarter hotels and affiliate organizations, during annual meeting.
Works with Meetings Manager to coordinate material shipment for conferences, including annual meeting.
Interacts with all AACC employees to facilitate positive productive working relationships.
Travels to and attends Annual Scientific Meeting.
Bachelor’s or Associate’s degree in business communications, event management, marketing or related field or work experience in lieu of degree.
1+ years’ experience working in meeting planning ideally in an association setting.
Comfort and experience using PowerPoint and Excel. Event management software and relational database skills a plus.
Strong verbal and written communication.
Ability to multitask and juggle multiple projects.
Excellent customer service skills and grace under pressure.
