The American Society of Echocardiography (ASE) is an organization of professionals committed to excellence in cardiovascular ultrasound and its application to patient care through education, advocacy, research, innovation, and service to our members and the public. ASE, the largest subspecialty society for cardiovascular imaging, is seeking a Project Manager/Sr. Project Coordinator for our location in Durham, NC. This position will report to the Vice President of Business Development and External Relations and will be responsible for the following:
Position Summary: This position will be located in ASE’s External Relations Department and is responsible for managing ASE’s industry-related projects and presentations, including ASE-branded webinars, podcasts and other communication vehicles. This position requires technical capabilities with editing and managing video and producing technical files (MP3, MP4, etc.). This position will manage and have oversight and decision-making of assigned industry-related educational product development including project management, volunteer coordination and delivery deadlines. The project manager is responsible for assuring that the grant-based projects are presented on time and well-received by the sponsors. The project manager will also provide administrative support to the External Relation team, setting up zoom and conference calls, creating slide decks, taking minutes and helping to extend a professional level of customer service to our corporate partners in support ASE’s Industry Roundtable (IRT) and other industry-related activities.
Essential Duties and Responsibilities: 90% of the time
Manage industry-related projects
Work with team to create and develop revenue-generating projects for ASE
Coordinate faculty and facilitate content development within established deliverable timelines and budget. Utilize spreadsheets to monitor and track budgets, dates, and other information.
Produce invitations, agendas, contract terms, and submit payments to speakers.
Record and edit webinars and other materials for quality assurance.
Assure appropriate peer-review cycles to vet the projects before launch.
Assist the Education team and Healthcare Education Manager on timing, continuing medical education (CME) application completion and submission.
Coordinate look of webinars, etc. and help develop promotional ideas to support industry projects in conjunction with the Marketing Department.
Track activities and generate usage data to report regularly on program outcomes.
Handle invoicing and billing for industry related projects.
Facilitate Team Coordination
Develop and coordinate schedule of events on a weekly basis
Assist department by updating and monitoring team’s outlook calendars
Outreach and polling to volunteers and industry sponsors to schedule meetings
Track volunteer availability and facilitate meeting scheduling
Serve as a contact for the department
Customer service representative for the external relations department.
Respond to customer questions and inquires via phone and/or emails.
Committees and Taskforces
Manage other Taskforces and Workgroups as assigned by the Supervisor, CEO, or Deputy Director.
Other Functions: 10 % of the time
Support the organizational structure of ASE by attending staff meetings, working on task forces, seeking and attending professional development opportunities, working in a team atmosphere and cooperating with other staff members, and completing minutes, meeting summaries, paperwork and timesheets in a timely manner.
Travel to ASE meetings and other exhibit venues may be required for this position. Travel could include attending the annual convention to provide staffing for the ASE Headquarters sales booth, and other duties as assigned.

Experience: A minimum of 2-4 years of experience in project management is required. A professional background working in a scientific, medical, education or professional membership association setting is preferred. Prior experience working with physicians, high-level professionals, and volunteer committees is preferred.
Proven ability to coordinate projects that involve multiple stakeholders, internal and external.
Proven ability to manage multiple, concurrent projects in a fast-paced environment within expected deadlines and budgets.
Outstanding organization and communications skills, with strong attention to detail.
Demonstrated superior level of customer service and time management.
Comprehensive experience with documentation management.
Demonstrated technical ability in editing and managing videos and producing technical files
Competence in Windows Office software, database programs, and online applications.
Self-motivated to find and offer solutions to problems.
Ability to work in a team environment and be a supportive team member.
Excellent writing and grammatical skills.
Good interpersonal skills, professional appearance, and demeanor.
Ability to work outside regular business hours, including occasional evening and weekend work, as needed.
Must be able to sit for long periods of time
Ability to travel (airplane) to domestic U.S. event locations as assigned.
Must be able to work a variety of hours in order to accommodate events
