General Purpose: Provide efficient administrative assistance and exceptional customer service to the Texas Municipal League Business Development department and its customers.
Supervisory Functions No supervisory responsibilities.
Essential Duties/Responsibilities • Assist with the coordination of all exhibition and sponsorship aspects of the TML Annual Conference and Exhibition including but not limited to: maintaining prospect lists and customer accounts, organizing relevant communications, tracking sponsorship benefits and fulfillment, coordinating exhibitor training and new exhibitor/sponsor onboarding, managing event supply inventory, and assisting with the execution of event logistics onsite. • Assist with associate member, advertiser, sponsor, and exhibitor services such as billing, recruitment, retention, communications, directory and database maintenance, and reporting. • Communicate effectively and courteously with TML exhibitors, sponsors, advertisers, and associate members via email, phone, and in person. • Assist in administering Texas Town & City advertising program including promotions, contract entry, billing, artwork organization and proofing, and deadline reminders. • Assist department director with maintaining department calendars, receiving and returning phone calls and voicemails, sorting incoming and outgoing correspondence and inquiries, and making travel arrangements. • Prepare and proofread department letters, announcements, bulletins, reports, documents, signage, and miscellaneous memoranda. • Prepare department purchase orders, check requests, expense reports, etc. • Purchase, organize, and maintain department office supplies. • Research, collect, organize, and report on a variety of assigned topics. • Organize and follow through to completion various secretarial projects and creative assignments or initiatives. • Work efficiently with customer management software and databases. • Perform such other duties as may be assigned.
Job Qualifications (Knowledge) • Knowledge of office practices, routines, and etiquette. • Knowledge of English grammar and spelling. • Knowledge of word processing programs and standard office equipment.

Job Qualifications (Education/Experience) Job requires a college level of language, writing, math and reasoning skills. Two years of experience in a related field with equal responsibilities is acceptable or the equivalent of experience and training which provides the required knowledge, skills, and abilities.
Work Environment/Physical Activities Job requires some degree of physical effort. It is primarily a desk assignment but occasionally necessitates light physical labor when preparing for and executing events such as organizing, packing, assembling, moving, and dismantling event supplies, décor, furnishings, props, and more. The job calls for a high degree of mental concentration and emotional intelligence to interpret and act upon a wide range of situations in a courteous and professional manner. The job requires creative thinking as well as attention to detail. The job necessitates regular and reliable hours at the office, the ability to work flexible hours, and some out-of-town and overnight travel.

Membership in the League is voluntary and is open to any city in Texas. From the original 14 members, TML’s membership has grown to 1,160 cities.
