DMS is seeking a dynamic individual to lead our growing accounting team. This person will help with managing growth within the department, working with our divisions and overseeing all current non-profit accounting clients.
Essential Duties and Responsibilities:
DMS Financial Management and Oversight
Working with the VP Leadership Team & Owners, manage and oversee all financial and business planning activities, including:
Oversee business policies and accounting practices
Review and analyze financial reports
Maintain an accounting system that provides the organization with quick access to financial information and enables strategic budgeting
Support and advise the CEO in financial decision making
Lead and support organizational budgeting process
Review all contracts and client billing
Oversee reporting and monitoring of organizational performance metrics.
Reviews DMS hours & oversees payroll submission to Kabel in conjunction with the CEO.
Assist owners in overseeing risk management and legal activities: letters of agreement, contracts, leases, etc.
In conjunction with the CEO, play an active role in new client recruitment & retention including oversight of the annual contract renewals and proposals for new business.
IT – working with the manager of information technology, ensure the ongoing maintenance and updating of information systems and infrastructure for the accounting department.
Organizational reporting and monitoring: provide guidance and leadership through management of the company metrics and measurement reporting process
Ensure continued compliance with accreditation and any legislative or regulatory requirements.
Participate in monthly leadership team meetings reviewing client goals and overall strategic direction of the company.
Manage and oversee the human resource functions for the accounting department, including:
Recruitment, hiring, and compensation
Benefits administration and oversight
Professional training and development, including new employee orientation
Regulatory oversight and legal compliance
Client Financial Oversight
Ability to oversee and perform when necessary the following within the accounting department
Record Accounts Receivables after balanced.
Prints out, reviews and transfers data to spreadsheets.
Tracks account activities using software.
Prepares financial statements and supporting data for each client; prepares financial statements for each meeting.
Assembles data and distributes to appropriate persons or groups.
Performs payroll functions for clients with payroll requirements.
Oversees required payroll and other reports for the State and Federal government including 940 and 941 tax forms, W-2’s, 1099’s, etc.
Any other job functions of the associate director of accounting.
Balances all checking, savings, and investment accounts for client companies.
Utilizes accounting software to perform reporting and perform financial analysis.
Prepares various spreadsheets and financial analysis reports for budgeting, forecasting, and related management purposes.
Participates in the oversite and discussion of financial reports, directing adjustments and changes as requested.
Prepares and compiles information for preparation of tax returns (990, 990T, 1120) and coordinates with accounting firm.
Coordinates and reviews changes to tax returns with client Board of Directors and CPA prior to filing. Obtains appropriate signatures and files all returns when due.
Responds to all IRS notices/inquiries.
Prepares audit work papers for clients and works with auditors to gather items and information as required.
Oversees self-directed audits for clients.
Reviews final audit/review material such as financial reports, etc. Reviews and ensures, or implements, ‘Acceptable Use Policies’ recommended by auditors.
Board of directors – working with the CEO, provide staff support and guidance to the client boards and act as staff liaison to relevant committees.
Acts as property/liability insurance administrator for clients; solicits insurance bids as necessary.
Minimum Physical and Mental Demands Required to Perform Essential Functions
Capacity to use various office equipment including ten key calculator, copy machine, fax, desktop deposit terminal, credit card terminal, and computer terminal/keyboard.
Motor coordination (eyes, hands, finger movement swiftly and accurately), as well as manual and finger dexterity.
Job involves reaching (horizontal and vertical) to obtain various books, printouts and file boxes, computer paper, etc. as well as some light lifting.
Numerical, clerical, and forms differences/distinctions are critical.
Concentrated knowledge of general accounting, budgeting and fiscal record keeping and reporting.
Computer literacy with demonstrated skills in the use of applicable program software.
Knowledge of statutes and requirements for fiscal reporting, budgeting and related systems.
Ability to read, interpret and apply financial information.
Ability to obtain information by observation, investigation, interpretation, visualization.
Language Ability and Interpersonal Communication
Requires regular interaction with DMS employees and client association Boards of Directors, external auditors, and the public in the performance of accounting/ budgeting tasks.
Provides subject matter assistance to others through explanation, demonstration and related means.
This is an exempt position, which means that no overtime is paid. The nature of the association business is cyclical, and some weeks may require extended days or weekend work based on the needs of the client.
