The Certified Financial Planner Board of Standards (“CFP Board”) - headquartered in Washington, D.C.-is the certifying body for financial planning professionals. It is a non-profit organization that fosters professional standards in personal financial planning through its setting and enforcement of the education, examination, experience, ethics, and other requirements for the CFP certification.
CFP Board is seeking an Administrator to the Executive Office who will provide high level, confidential and complex administrative duties to the CEO’s office. The ideal candidate will embrace open collaboration, possess intellectual curiosity and help the organization deliver results towards fulfilling our mission.
Demonstrates ability to deal with confidential/sensitive matters in a discrete and professional manner
Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings and conference calls; manages all logistical details
Proactively ensures the CEO is properly supported and prepared for all events and appointments
Coordinates complex travel arrangements, provides concierge level detail on travel itineraries for the CEO’s travel for international and domestic business trips
Prioritizes and manages information coming into and going out of the Executive’s office – circulates information appropriately, documents and shares with appropriate staff, external individuals and organizations
Prepares and edits general documents, reports and presentations
Composes and edits correspondence as authorized, coordinates follow-up and outreach to key individuals and organizations
Prepares, reviews, tracks and processes all expense reports and reimbursements
Ensures coverage of the executive office phone lines and office
Ensures the CEO’s contacts remain current
Conducts various internal/external research as needed for projects to support the functions of the executive office
Monitors CEO suspend/pending file
Coordinates monthly all staff meetings and annual staff events
Manages holiday card mailings and the distribution of volunteer recognition gifts
Performs other duties as assigned
Minimum of five years’ professional experience, with at least three years’ administrative experience at the executive level
Excellent calendar management skills, including the coordination of complex meetings
Expert level written and verbal communication skills, strong decision-making ability and attention to detail
Strong knowledge of MS Office, including Outlook; ability to integrate data from database systems into MS Office applications
Ability to prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
Flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors
Takes initiative and works independently while managing up successfully
