The Association Project Manager is responsible for managing daily office logistics and procedures in support of training, conference, certification, and membership activities, in addition to managing various development and operational major projects. This person will assist the Executive Director in the development and management of organizational metrics aligned with the strategic plan with an eye to continuous improvement and cost-effectiveness of organizational processes, procedures, and policies. Another key focus of this position will be business development of existing or past customers and members. This position will supervise training, certification, and membership support staff, currently 2 persons.
This position reports to the Executive Director.
Ensures the quality and timely execution of internal support, customer and member needs for:
Performs business development on corporate courses
Supervises logistics for Institute’s public and corporate “in-house” training programs - including program training materials, equipment, supplies, certificates, and evaluations.
Candidate application review, approval, and associated correspondence and follow-up
Exam preparation and grading
Certificate and record preparation
Document and record management
Maintenance certification logs
Assist in exam proctor process
Increasing membership retention and membership sales
Advancing individual members to corporate members
Supervising membership administration processes
Annual Conference and other events:
Logistics fulfillment of event support activities
Primary lead on exhibitor and sponsorship business development activities
Utilize the Vibration Institute’s project management system to ensure activities are entered, tracked, and followed-up on.
Be a champion for process improvement and automation of administration activities.
Assists chapter leaders as needed and ensures chapters file required annual IRS paperwork.
Assures International representative orders for training materials and exams are handled correctly.
Helps grow the corporate courses.
Corporate sponsors, exhibitors, and advertisers.
Manages daily operations and customer service fulfillment of training, certification, membership, and conference activities.
Attend events and trade shows to represent the Institute.
Responsible for the ongoing maintenance of the staff procedure manual.
Responsible for keeping the certification manual up-to-date.
Must have an “early adopter” attitude towards using and maximizing the use of technology and software
Must have excellent written and verbal communications skills
Must be highly professional and patient in working with a highly diverse International customer base
Must be detail focused when dealing with stakeholders
Must be competent in MS Office and Office 365, with special focus on Excel
Must be proficient in learning software platforms and databases
Must be proficient in examining and evaluating vendor services
Must have exceptional organizational skills
3 – 5 years project management experience
1 – 3 years supervisory experience
Salesforce or Fonteva experience a plus
Experience in an accredited certification environment a plus
Experience working in a technical engineering or association environment a plus
Some travel approximately 2-4 times a year
