This critical role on the Volunteer and Member Engagement team supports the vision of “One CASE” by providing professional and administrative support to district volunteers in order to ensure consistently excellent member experience and the highest quality volunteer engagement.
The core functions of this position include but are not limited to the following:
District Board Support
Assist district chairs in development of annual calendar of activities
Support district chairs with development of board meeting agendas, soliciting input and feedback from members
Work with district secretary to record, document and distribute meeting minutes and action items
Prepare and distribute meeting materials
Secure board meeting space and board member accommodations
In collaboration with district volunteers and staff colleagues, coordinate meeting logistics
Attend in-person board meetings and participate in conference calls as needed
Arrange and manage board conference calls
Track board member contact information and demographics
Support district volunteers in management of board member election process
Assist committee chairs as needed
Work with district volunteers to ensure maintenance of website content
Assist in management, crafting and distribution of member communications
Collaborate with colleagues to maintain online communities, as appropriate
Set up and maintain speaker management system in collaboration with district volunteers
Support cross-divisional conference processes and timelines and provide on-site assistance, as needed
Small Workshop Support (non-annual conference)
Work with appropriate volunteer(s) to secure meeting facilities
Create and maintain workshop product in Personify
Provide on-site support, as needed
Work with CASE accounting staff to provide support to district treasurers, including assistance with budget development
Assist with collection of annual audit materials
Work with CASE accounting staff to process volunteer expense reimbursements
Provide additional support to district awards chairs
Assist in identifying and recruiting awards judges
Work with CASE Awards team to develop and maintain online district awards system
Distribute entries to judges, as necessary
Create database queries and reports in consultation with the Business Systems team
Maintain district bylaws and operating guidelines/policies
Work with appropriate volunteers and colleagues to maintain hard copy and electronic archival materials
Maintain district volunteer list with key contact information, roles and terms
Assist district chairs with preparation of annual membership meeting agenda and materials
Handle routine correspondence and member inquiries
Fiscal Management/Budget Responsibilities/Judicious Use of Resources
Exercises fiscal responsibility in the utilization of all CASE resources.
Liaises with colleagues in other parts of the world to ensure the best sharing of ideas, expertise and knowledge.
Exhibits appropriate service-orientation and works cooperatively and supportively with all volunteer groups with which this position is engaged.
Performs Other Duties and Responsibilities as Assigned by Supervisor.
Education and Experience Required: Bachelor’s degree; 3-5 years’ work experience in project coordination within a customer-service environment required; advancement-related experience and association management experience, particularly related to component or chapter relations, highly desirable. Meeting planning and support experience highly desirable.
Skills and Abilities Required: Must exhibit superior customer service skills and the ability to interact effectively with a variety of constituents, both internal and external. Excellent written and verbal communication, organizational, interpersonal and problem solving skills necessary. High level of proficiency in Microsoft Office suite and database programs required. Personify experience preferred. Experience with web site maintenance and basic html required. Ability to work independently and in a team to accomplish goals and meet deadlines.
