Position/Expected Work Hours
Full-Time Office Administrator, Monday-Friday 8:30am-5:30pm. Duties will require a flexible schedule and after-hours work as needed.
RECA seeks an independent, experienced individual to provide general office management for an influential, member-based association. The position involves facilitating communications, operations and effective processes within a professional workplace. This position reports to the CEO.
Facilities and Operations
Provide administrative support to the RECA CEO
Represent RECA as the initial face of the organization as receptionist by greeting visitors, validating parking, facilitating incoming phone calls to staff
Mail collection and distribution, monitor general company email box
Errands to support membership, policy, communications, events, and accounting
Manage conference room, kitchen and office supply inventories
Input appliance and building work-order submissions and follow-up after service
Liaise with facility management vendors, including cleaning, catering and security services
Assist with meeting set-up, catering, attendance, materials, and clean up
Assist with accounts receivable by securing authorized signatures
Research projects as needed for policy, membership or communications
Assist in the onboarding process for new hires
Membership, Events and Communications
Staffing RECA events
Process credit cards
Prepare name badges
Support on-site set up and check-in
Assist with member profile set-ups in database
Create and distribute invoices for RECA events and membership
Assist RECA members with website, event registration, and other general inquiries
Assist in proofing outgoing communications
Assist with social media presence by posting photos and other pre-planned messages
At least two years of previous experience in office administration
Exceptional organizational skills, detail-oriented, able to prioritize, multi-task and meet deadlines
Proficiency in MS Office (Excel, Word and Outlook in particular)
A proven problem solver who is proactive at answering questions or solving issues with minimal outside help
An effective communicator, both written and oral. A “people person” who enjoys meeting the membership and interacting regularly with them
Working knowledge of mail processes such as Stamps.com, FedEx and UPS
Database management experience
Hands on experience with office machines (e.g. copiers, phones and projectors)
