Meetings and Conventions Coordinator

The Wine & Spirits Wholesalers of America (WSWA) seeks a technology- and administrative-focused coordinator for its Meetings and Conventions department. We are seeking someone who is a self-starter, has a demonstrated aptitude for web-based software systems, and is both customer-service and detailed oriented.
Primary areas of responsibility include:
(a) Executing all aspects related to registration for WSWA meetings and its Annual Convention & Exposition using Microsoft Dynamics CRM. Duties include setting up pricing and meeting/convention parameters in the database, linking Passkey (hotel reservation software) to the WSWA registration system, monitoring hotel room requests and reservations, managing group blocks, and processing event registrations and hotel room changes and cancellations.
(b) Managing the on-site registration process during the WSWA Annual Convention & Exposition, including hiring and management of convention registration temporary staff.
(c) Supporting the annual redesign of the WSWA Annual Convention & Exposition website, as well as entering and updating content using WordPress. Also supporting the development and upkeep of the convention app.
(d) Assisting with planning and on-site support related to small meetings, including preparing collateral material for small meetings.
(e) Working closely with the finance department to create and process batches, invoices, and payments.
(f) Providing general administrative support, including, but not limited to, processing all department invoices, creating financial reports, managing the department calendar, and booking department travel.
Limited travel is required, as well as working overtime during the peak convention season.
The candidate should possess a bachelor’s degree, 2-years’ work experience, and have strong experience with web-based database management, work flows, and Excel. Knowledge of HTML and Adobe is preferred, as well as experience with a trade association. Excellent oral and writing communication skills are a must, as well as strong project management and organizational abilities. The successful candidate is a self-starter, a team player, customer-service oriented, and able to prioritize, multitask and meet deadlines.
