The Membership Coordinator and Registrar requires a broad perspective and understanding of association management, the role of volunteers, governess, project management and fiscal responsibility, member benefits/engagement/retention, in addition to an in-depth understanding of membership databases. Substantive experience with IMIS software is a plus. Both roles require strong administrative and organizational skills; attention to details and accuracy; able to prioritize and manage multiple projects to completion; ability to identify problems quickly and proactively resolve them; excellent communications skills; and interpersonal skills with the ability to work independently and as part of a team.
Role & Responsibilities:
Maintain membership records and respond to member and general inquiries regarding the Association’s programs, products and services; as well as industry questions.
Maintain membership in database, as well as committees, local MBAs and affiliated groups.
Assist in the development of recruitment and retention activities.
Develops reports on membership demographics, statistics, etc.
Maintain committee assignments, database and rosters.
Staff liaison to the Membership Committee.
Compile and solicit prospect member lists and maintain membership materials.
Coordinate member application process and materials. Process applications, route through approval process and notification of approval.
Send membership dues statements with member update form and monitor unpaid dues with appropriate correspondence as well as update company records with changes.
Process registrations, confirmations, and handle inquiries on registration, programs and events.
Prepare meeting materials including assembly of name badges and program materials.
Responsible for onsite registration at all programs and events.
Post-event attendance tracking and collection.
Accurate accounting and log of check receivables.
Monitor outstanding receivables, batch creation/posts, and send invoices/statements.
Manage the routine operations of the office, monitor office needs and solicit/maintain competitive vendor relationships.
Provide assistance with marketing association programs, products and services.
Receive, screen and route telephone calls with backup from other staff. Modify voice mail message as needed.
Retrieve, open, sort and distribute incoming mail with backup from other staff.
Compile reports as requested/required.
Reports to and perform other duties as assigned by the Executive Vice President
Bachelor’s degree from a four year college or university; or related experience and/or equivalent combination of education and experience with associations.
Excellent organizational skills and precise attention to details.
Self-motivated and works well without close supervision or as a team.
Effectively problem-solve anticipated and immediate challenges.
Strong written and interpersonal communication skills.
Customer service experience.
Maintains a professional appearance and attitude, even when under pressure.
Intermediate/advanced level of proficiency using MS Office (Excel, Access, Word, and Outlook) is required. Power Point and CRM software proficiency desirable.
Travel is required. Must have the physical ability to attend meetings, conventions and other events, which may be held in large convention facilities with various accessibility, and maneuver through such facilities to perform a broad variety of duties.
