The Veterinary Emergency and Critical Care Society is a professional non-profit membership association in San Antonio, Texas, and we have an immediate opening for a highly skilled Member Services Specialist to join our team. We have been an active non-profit association for over 40 years, and we provide vital programs and educational services to members in the Veterinary field. While our office staff is small, we deal with professionals who have high expectations for service and support. The ideal candidate will, above all, be reliable, responsible and have a track record of dependability in previous positions. This position requires the ability to make basic decisions with minimal guidance and to have strong people skills. The position reports to our Executive Director and Director of Operations. Because it is a small office, attendance and flexibility are important.
Answer multi-line phone: Screen calls and handle all inquiries.
Provide exceptional administrative support.
Enter data in various databases including YourMembership.
Manage online Career Board by assisting employers and working with Career Board support.
Process and ship product orders using WooCommerce, USPS label solution and postage machine.
Prepare mass emails using Constant Contact.
Update website using WordPress as needed.
Prepare and organize information for board meetings.
Process payments in PayPal, BluePay and Stripe.
Reconcile merchant accounts using Excel.
Enter deposits in QuickBooks.
Order and maintain supplies, inventory and electronics for daily use and conferences.
Make check deposits regularly (electronically).
Respond to member concerns and provide additional support when necessary.
Create and run various reports for membership and conference information using YourMembership, Excel, or other programs.
Update membership information using YourMembership as needed.
Update dues information when payment is received via email, check or over the phone.
Assist with various projects including mailings, etc.
Assist with VECC Foundation projects, mailings, emails and other related tasks.
Ability to learn new computer programs at a rapid pace.
Strong knowledge of MS Excel, Word, PowerPoint and Outlook.
QuickBooks experience. (MANDATORY- will not consider without this experience).
Experience with YourMembership, WordPress, Constant Contact, and Adobe products (InDesign, Photoshop & Acrobat), strongly desired but not required.
Must have a passion for people with strong communication skills, good phone etiquette and a positive attitude.
Pitch-in attitude with a work ethic that nothing is above or beneath you to assist with.
Able to handle multiple tasks simultaneously and meet deadlines.
Be able to travel to annual symposium for one full week.
Be able to lift 25 pounds.

VECCS, established in 1974, promotes the advancement of knowledge in veterinary emergency and critical care medicine, leading to improved patient care of severely ill/injured animals. The Society conducts an international continuing education symposium (IVECCS) in September which draws over 2800 veterinarians, technicians and practice managers and a smaller "members only" symposium in March/April. VECCS also publishes a peer reviewed journal (JVECC), maintains a web site which includes a member's only section, and produces flash drives and meeting proceedings.
