Are you seeking a career where you can make a difference? If so, this unique opportunity for an Executive Assistant/Executive Office Manager at the Heart Rhythm Society (HRS) may be perfect for you. We are seeking a highly motivated and extremely resourceful administrative professional with exceptional organizational and communication skills to provide support to our CEO and Director of Governance and Board Relations. This position can provide you the opportunity to work on a wide range of projects, getting the type of experience and exposure that goes well beyond a typical administrative position.
As the Executive Assistant (working with the CEO), you will perform a diverse array of support activities including:
Managing the CEO's extremely busy, and constantly changing calendar, prioritizing issues to ensure effective time management.
Managing travel logistics (domestic and international) and resulting expense reporting.
Providing support for presentations, board meetings, research and analysis and special projects.
Being the first point of contact, handling incoming calls, messages, and appointment requests.
Creating and proofing correspondence including; letters, memos and reports as required, demonstrating expert level written communication skills.
Interacting with the Society’s leadership (globally recognized physicians).
Maintaining complete confidentiality of sensitive information.
As the Executive Office Manager (reporting to the Director, Governance and Board Relations), you will perform a diverse array of support activities including:
Scheduling, attending, and capturing meetings by taking minutes to establish accountabilities for commitments made in those meetings.
Providing administrative and program support to a variety of governance and board activities.
Coordinating volunteer engagement initiatives.
Supporting international activities via the HRS Ambassador Program.
Qualified applicants will possess a Bachelor's degree and at least 3-5 years of full-time, post-college work experience, ideally as an assistant or associate.

You possess the ability to think ahead and anticipate needs before they arise. You are well versed in email and phone etiquette and are proficient using Word, Excel, and PowerPoint.
Most importantly, you are unfailingly enthusiastic and helpful with excellent interpersonal, communication and written skills, you possess a high level of professional maturity, and are eager to learn.
