The National Association of Bond Lawyers, a small (8 employee, 2,700 member) trade association, seeks an experienced Operations Assistant to perform administrative roles for the accounting, meetings, and general office services functions. Attention to detail, professionalism, reliability, and ability to multi-task are critical attributes for this position. The Operations Assistant will be involved in nearly every facet of the Association, including general administrative support to the Chief Operating Officer
Responsibilities include, but are not limited to: Accounting Support: Payables/Receivables -Process invoices from vendors; process vendor payments and prepare checks. -Perform general account reconciliations and run reports as requested. -Deposit all incoming checks on a regular basis. -Maintain accounting files. -Assist Controller with monthly financial closing, annual audit, and physical inventory. Meetings and Events -Process all event registrations and cancellations. -Input and update all events into iMis; including panel schedule, fees, and panelists. -Assist members/registrants with questions/issues regarding event registration. -Prepare regular internal registration reports and a final reconciled attendance report. -Assist Meetings & Sponsorship Director with preparation of conference materials (forms, tent cards, agendas, attendee list, badges, ribbons, etc.) -Prepare and coordinate conference materials shipment to and from the NABL office. -Prepare attendee badges and coordinate on-site conference registration.
Office Services/General Support
-Order, maintain, and organize all office supplies. -Act as primary liaison with building maintenance. -Serve as on-site liaison to vendors for telephones, computer equipment and internet connectivity. -Assist the Chief Operating Officer in support of the Board of Directors and other general administrative duties as assigned. -Answer telephones; program/manage phone system, recordings and directories.

Qualified candidates MUST HAVE recent experience working with the iMis 20 Membership Database (including iMis Rise and the related report generator, IQA), Microsoft Excel, and Adobe Acrobat. Experience working with an accounting software system is required, Microsoft Dynamics (Great Plains) is preferred.
