The Texas Choral Directors Association (TCDA) was founded in 1955 and comprises a membership of approximately 1700 choral directors in Texas. The membership represents divisions of Elementary; Middle School/Junior High; High School; College/Community; and Church. Annual membership supports the organization and is required to attend the annual convention. The main focus of the TCDA staff is to maintain a current membership, recruit new members, and plan an annual convention that provides networking, interactive workshops and performing groups to provide professional development, continuing education credits, and support of the choral arts. The TCDA staff consists of one full-time executive director, one full-time membership services coordinator, a part-time publications editor, and a part-time bookkeeper. The TCDA Board oversees the organization and works closely with the staff in planning the annual convention.
Membership Services Coordinator
The right individual must be able to self-start, prioritize projects, meet deadlines and adjust to a changing workload at different times of the year. Applicant must be a team player with a commitment to a daily work schedule. The individual must maintain a professional demeanor, a positive attitude, be proactive, organized, and service-oriented, with a focus on improving the productivity and responsiveness of the association. www.tcda.net
The position’s responsibilities include, but are not limited to, the following:
Serve as primary receptionist (small office);
Provide excellent customer service to association members, the board and its members, and all constituents;
Process memberships, convention registrations and related events through an on-line management system, including paper forms and phone registrations;
Provide internal support for association management system, including website updates and maintenance;
Process credit card payments, checks, and cash payments;
Familiarity with general bookkeeping procedures
Proofread and edit various documents;
Work with executive director and the board to plan all aspects of annual convention;
Communicate with the clinicians of the annual convention to secure contracts, headshots, and bios for the association publications and promo materials.
Assist executive director with securing meeting sites and contracts with meeting planners, coordinating food and beverage and room set-ups;
Plan logistical details of in-town and out-of-town board meetings including securing hotel rooms and dining options;
Assist in planning all aspects of an on-site convention;
Attend and assist in the management of the annual convention every July in San Antonio
Assist in the reconciliation of post-convention accounting and expenses;
Assist executive director in administering a second small association, with general duties as specified during interview.
Must be reliable and work weekdays 9:00 to 5:00
Must be able to travel in-state (infrequent)
Advanced skills in using Mac and in all Microsoft Office applications
Must be well organized with attention to detail
Excellent proofreading and editing skills
Excellent customer service and communication skills (verbal and written)
Ability to handle multiple projects at one time
Ability to prioritize projects and meet deadlines
Must be able to relate to all types of personalities and display a helpful, courteous and professional attitude at all times
Positive, flexible, and able to adjust to new challenges
Accurate data entry, ability to identify inconsistencies and missing data in order to assure complete and consistent records
Ability to use standard office equipment
Preferred Association experience 1-3 years
Business casual attire with Business attire required for periodic meetings
