The Minerals, Metals & Materials Society (TMS) has an immediate opening for a Specialty Conference Program Administrator. This position will work directly with the Society’s events and technical staff and will lead volunteer organizers to manage program-related components of specialty conferences. The successful candidate will demonstrate a proactive, analytical and strategic approach to meetings management; an ability to work independently and manage multiple deadlines simultaneously; and a desire to employ collaborative tactics and achieve consensus when working with volunteers.
Qualifications include a Bachelor’s degree in a relevant professional field or equivalent experience and a high degree of comfort in managing and leading international volunteers, particularly scientists and engineers. Experience managing professional conferences or workshops in the US and internationally is preferred. Ability to analyze and interpret information furnished in a variety of formats, along with strong problem-solving and communication skills, are desired.
Manages the development and execution of the technical program component of topically focused conferences.
Assures that technical programming components (e.g., abstract submission; symposium and manuscript management) and all related activities are developed, presented, and executed in a timely, accurate, and cost-effective manner that satisfies the reasonable needs and expectations of all concerned audiences.
Manages regularly scheduled teleconferences/in-person meetings, communications, and workflow with volunteer organizing committees.
Develops, maintains, and monitors programming and proceedings deadline schedule and performs notifications and reminders as necessary to assure that deadlines are met.
Maintains program/event performance statistics and performs required analysis of data for decision making.
Assures compliance with TMS programming and proceedings standards through staff review of abstracts and manuscripts, including light copyediting of data entered by system users and provided by authors and editors.
In concert with other Events, Education, and Exhibitions staff, participates all areas of a successful meeting, including pre-event planning and onsite execution of technical sessions, registration, networking/social functions, and general conference attendee support.
Position includes duties that require international travel, and occasional work on weekends.
Bachelor’s degree in a relevant professional field, or equivalent experience.
Strong understanding of meeting management processes and experience planning and executing professional conferences or workshops; experience planning events outside of the US is a plus.
High degree of comfort in working with and leading volunteers, particularly scientists and engineers, those working in industry, and those from outside of the USA.
Strong problem-solving and analytical skills.
Strong copy editing and communication skills, including the ability to compose statistical reports and procedure manuals.
Proficiency in database management and Microsoft Office tools, including word processing and spreadsheet applications.
Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to apply concepts such a percentages, ratios, and proportions to practical situations.
Ability to identify and manage multiple priorities and deadlines.
Ability to work strategically, entrepreneurially and proactively.
Strong personal interaction skills and ability to work in a team environment, including situations that require a leadership role.
Ability to travel at least 25% of the time, including internationally.
