PURPOSE: Texas Restaurant Association is seeking a passionate, self-starter Conference Manager to assist with organizing its annual conference, TRA Marketplace. The Conference manager will be responsible for registration, educational programming, housing, and assisting the VP, Exposition and Events with all aspects of the conference/trade show. The position requires a detail-oriented person with strong administrative and organizational skills.
REPORTS TO: VP of Exposition and Events
Direct Reports Include: None
Indirect Reports Include: Exhibit Service Administration, TRA Marketplace Intern
Set up registration for all TRA events and be main point of contact; work with registration vendor to set up annual conference registration and manage onsite
Work with VP, Exposition and Events to develop education program; source speakers, negotiate contracts, arrange travel and address all speaker needs, update speaker data in all digital platforms, liaise and monitor onsite needs, compile evaluations, prepare final expense reports
Set-up and manage the hotel room block though Lanyon Passkey and working closely with hotels to monitor and manage the room-blocks
Provide administrative meeting support e.g. event set-up, preparation & packing of materials and reconciliation for various client events; and
Collaborate with TRA Marketplace team to ensure success and growth.
Knowledge of Microsoft Word, Excel, PowerPoint, and Outlook
Proactive in problem resolution and handle multiple projects and tight deadlines
Proficient with web based technology
Registration and registration systems experience, preferred
Strong analytical and organizational skills
Self-starter, able to function independently with little direct supervision
Eager to learn new things and able to pick them up quickly
Work under pressure and maintain a high level of internal and external customer satisfaction while managing constant changes and multiple priorities
Domestic travel ranging from 10 - 20% required
Association experience, preferred
Knowledge of iMIS database a plus, not required
Background check performed on final candidate
