This position is primarily responsible for speaker, exhibitor and webinar management; and plays an integral role in B2B client fulfillment.
Speaker and Exhibitor Management
Manages the Call for Proposals process for the Meeting & Expo including the development of the timetables for consecutive year conferences.
Serves as point of contact for all proposal submission inquiries and provides assistance for all proposal providers.
Plans and implements the proposal grading process, including preparation of proposals, allocation among Content Advisory Board members with special expertise, and managing the on-time grading of content.
Manages the process of proposal acceptance including delivery of confirmation/declination letters, obtaining COI disclosure and recording approval forms.
Manages the provision of complimentary speaker registrations, speaker registration processing and speaker needs.
Supervises the timely delivery of speaker presentations and their compliance with guidelines that meet ACRP and accreditation standards.
Coordinates transfer of conference content to the audio/visual partner for use onsite.
Provides on-going logistical communications and customer service to confirmed exhibitors, Exhibitor Appointed Contractors, and ACRP partners.
Manages the compilation and maintenance of the Exhibitor Service Kit in conjunction with ACRP partners as well as the Customer Service Center.
Actively participates in the formulation, interpretation and documentation of department SOPs.
Coordinates documentation, processes and policies to maintain compliance of ACCME, CBRN and ACRP accreditation standards.
Other responsibilities as needed.
Webinar and B2B Client Fulfillment
In coordination with association SMEs, identify appropriate webinar topics and confirm speakers.
Communicate with speakers to ensure timely collection of webinar content in accordance to accreditation standards.
Coordinate with technology vendor to ensure seamless execution of webinars (schedule webinar run-throughs, act as point person the day of the webinar).
Liaise with internal technology staff to ensure proper webinar set up/registration within association systems.
Assists the Director, Business Development in the fulfillment of B2B contracts including coordinating speaker and program logistics.
Director, Advertising & Exhibition Sales; Director, Business Development; Senior Manager, Technology and Events; Senior Manager of Database Administration; Marketing and Communications Manager; external technology and communications partners/providers.
Minimum of 4 years experience managing conference logistics and stakeholder support.
Possesses strong communication skills, and has a proven ability to multitask and prioritize in a fast-paced conference environment.
Focuses on providing high-level customer service to internal and external stakeholders in a timely manner.
Utilizes a disciplined approach to solving problems that gathers sufficient information and engages all perspectives.
Shows an ability to be effective in a multi-disciplinary team environment.
Possesses time management and prioritization skills to follow assignments through to completion, with a results-based focus.
