Institute of Management Accountants is seeking an experienced Administrator to provide administrative assistance and support to the Board Chairs, President & CEO and Senior Leadership team.
The ideal candidate will have 10+ years of administrative experience or 5 years of administrative experience with a college degree. This position requires a proactive individual with energy, good attitude, strong organization skills and work ethic. The individual must be able to understand the importance of confidentiality and the ability to be a trusted partner with entire senior leadership team. Past experience at a non-profit organization preferred but not required. Strong Microsoft Office skills are required and ability to travel up to 4 times per year to assist with IMA’s annual conference and board meetings.
The responsibilities of this position include:
Communicating with the Global Board of Directors on behalf of the President & CEO
Assisting the Chair, Chair Emeritus, and Chair Elect with scheduling as a trusted liaison between President & CEO, staff and the Senior Leadership Team (SLT) to support projects and cross-functional work
Coordinating internal and external meetings
Managing all calendar, travel arrangements and expense reports for President & CEO, CFO and other SLT when needed
Coordinating donations made to the organization entities including sending contribution acknowledgement letters on a monthly basis
Coordinating monthly performance review meetings with senior leadership team and finance including scheduling, meeting logistics and presentations
Reviewing legal bills for accuracy and final approvals
Reviewing legal contracts and memorandum of understanding
Maintaining executive and legal contract files both electronic and physical
Assisting global team with Visa applications, and other administrative duties as needed to set up business in global offices
Ability to be a committee staff liaison with little or no supervision
Managing committee database in the association management system, creating and maintaining committee rosters
Assisting the VP Governance of Volunteer Relations with all administrative work involving volunteer community
Assisting the Chief Financial Officer in coordinating planning calendar, meeting minutes and other administrative tasks for the Planning and Development Board Committee.
Creating tent cards and name badges for all global board and committee meetings
Sending welcome packages to global directors and incoming volunteer committee members
