Professional State Association with a membership of 2,600 members is searching for an experienced meeting planner with a minimum of 5 years’ experience in all facets of meetings management. The ideal candidate will have strong meetings experience, excellence in negotiation skills, an ability to deal with people of all levels, preferred experience dealing with a volunteer-based committee environment, proficient with technology, and superb on-site operations experience. The successful candidate will manage all budget and conference reconciliation both internally and with auditors.
The successful candidate will manage legal education meetings for the association which range from 15 to 2,300 attendees. The candidate will also manage numerous executive committee and Board of Directors meetings. The position will report directly to the Executive Director.
The annual meeting, the Boardwalk Seminar, is held in April in Atlantic City over two and a half days and consists of 35 educational tracks, 350 faculty members, 200 exhibit booths, and 1,800 registrants. There are numerous ancillary events within the annual meeting including a meeting of the Board of Governors, political fundraisers, and social events for registrants. This event will has been held for the last 35 years.
The Meadowlands Seminar is held in November in East Rutherford over two and a half days and consists of 17 educational tracks, 300 faculty members, 100 exhibit booths, and 800 registrants. There are numerous ancillary events within the Meadowlands Seminar including a meeting of the Board of Governors, political fundraisers, and social events for registrants. This event will has been held for the last 10 years.
The Four Concurrent Seminars is held in February of each year and consists of four seminars, 30 faculty members, 250 registrants, and 60 exhibit booths.
The annual Installation Dinner is held in June as a dinner for 350 guests. In addition to installing the new President and Officer the event is a fundraiser and includes an Ad Journal that produces the revenue.
The Association, Foundation and PAC all run smaller events (committee meetings, fundraisers, social events, etc.) that are managed by the Senior Manager, Meetings & Special Events.
The educational sessions are designed through a collaborative effort of volunteer members and professional staff. Working with, and managing the time of, the volunteer members is critical to the success of the position. Working with hotels, vendors, and the other staff members make up the balance of the position.
The NJAJ Educational Foundation is an Approved Accredited Provider with the New Jersey Board on Continuing Legal Education. Managing compliance with the CLE board regulation is required.
Minimum of 5 years' experience in all facets of meetings management including working with a volunteer-based committee environment. Experience in trade show management. CMP preferred.
