The Institute for Operations Research and the Management Sciences (INFORMS) the largest society in the world for professionals in the field of operations research (O.R.), management science, and analytics is searching for a Community Relations Coordinator.
This position serves as the key ambassador between the INFORMS office and community leadership providing support services to volunteers through ongoing communications, leadership development, and committee management. Coordinates the activities of the organization’s communities (e.g., societies, sections, chapters, student chapters, forums). Facilitates the flow of information among the communities and between the communities and INFORMS. Work collaboratively with INFORMS’ staff and volunteers to ensure the health of INFORMS’ communities and provide guidance on operational/organizational issues as it pertains to communities.
JOB DUTIES AND RESPONSIBILITIES:
Volunteer Development and Management
Oversee all communities including sections, societies, geographical chapters, and student chapters
Identify, recruit, cultivate and train community volunteer leaders
Work with Director of Membership and membership staff on the development and execution of the leadership support, services and communication strategy for all communities
Organize the Student Leadership Conference and other volunteer training programs
Serve as subject matter expert to the Subdivisions Council and Chapters/Fora and Sections/Societies Committees and subcommittees
Meeting and Event Planning
Oversee and assist in planning community events hosted at INFORMS meetings (including business meetings, catering, AV, etc.).
Attend meetings and various other community events throughout the year
Collaborate with meetings department staff and on-site venue staff
Advise community volunteers of administrative and meeting/registration services offered
Plan and attend Council retreat and committee meetings
Manage the ordering of plaques and certificates for community awards.
Promote calls for award nominations
Oversee maintenance of awards web pages
Coordinate annual feature in ORMS Today announcing community award winners
Train community volunteers in maintaining their community sites
Moderate and ensure the maintenance of online community sites (Higher Logic)
Create data queries and reports on behalf of communities or for internal use
Collaborate with IT colleagues to address technical issues
Track membership analytics for all communities
Community Development and Administrative Support
Lead efforts toward the development of new communities, revitalization, and termination and recognition of outstanding communities
Prepare agendas for all Council and committee meetings/calls
Contribute to department reports to the INFORMS Board
Develop new procedures and best practices related to community management.
Maintain database records
Facilitate community elections
Collect and distribute annual community activity reports
Delegate detailed administrative tasks to department assistant
Financial Administrative Support
Review and ensure the distribution of community financial statements and respond to leadership queries
Collaborate with accounting staff to monitor community finances
Manage check requests and reimbursements
KNOWLEDGE AND SKILLS REQUIRED:
Experience working closely with member volunteers with a strong customer service emphasis
Excellent planning and organizational skills with the ability to work independently, exercise sound judgment and manage multiple projects concurrently.
Experience working with a volunteer organization and/or association preferred.
Excellent communication and collaboration skills, demonstrated ability to effectively work with diverse groups using tact and diplomacy.
Strong writing skills, and the ability to draft, edit, and proofread a variety of communications materials.
Familiarity with web page and content management.
Computer proficiency with a variety of software applications, (Such as Microsoft Office Suite, Tableau, Adobe Acrobat, EZPublish, Survey Monkey, AMS (Association Management Software).
Solid understanding of community management, Higher Logic a plus.
Ability to travel up to 4-5 times per year
PHYSICAL REQUIREMENTS: Must have the ability to perform moderately strenuous activities including, but not limited to, sustained activities (continual bending, stooping, exhibit booth staffing), and lifting and moving packages up to 25 lbs.
EDUCATION/ EXPERIENCE JOB REQUIREMENTS:
Bachelor’s degree preferred with 3-5 years’ experience in Association Management or related exposure, or equivalent combination of education and experience.
