Who we are looking for: We are seeking a highly-motivated and enthusiastic coordinator to be part of the high-profile Center for Integrity & Law (CEIL) team under the Office of the CEO. This person will bring excellent organization skills, a meticulous focus on details, strong interpersonal skills, and a flexible, can-do attitude. The selected candidate will provide non-profit governance coordination and support to the Associate Director for Governance and to the Board leadership and assigned committees, participate in team activities and projects.
What you will do:
Support and learn from the Associate Director, Governance in planning and efficiently executing the workflow of ASCO and Board-level committees including scheduling and supporting regular meetings and WebEx conference calls, preparation of advance materials, travel arrangements, composing minutes and correspondence, expense report processing, and completing follow-up actions
Coordinate schedules and manage daily calendars for current and past ASCO presidents while effectively collaborating with internal and external support staff
Provide on-site logistical coordination and support for all Board-related meetings, including WebEx conference calls and other high-level events involving Board members
Participate in supporting and coordinating follow-up on key Board initiatives and programs
Commit to reliable onsite presence to ensure top-notch office administration support and coordination for the CEIL/Office of the CEO team including attending to telephones, and providing general and back up support for executives and staff attorneys, as needed
The successful candidate will contribute:
College degree or equivalent experience; and 2-3 years of program and administrative coordination experience and working with governance and a board of directors is a plus
Professional and pleasant demeanor and the ability to collaborate and work effectively with a diverse group of internal staff and external leaders/VIPs and members
Ability to handle confidential information with discretion
Excellent communication skills (listening, verbal, and written)
Proficiency with Microsoft applications including Word, Excel, PowerPoint; experience working with video conference software; and openness to embracing new technology
Track record of successfully multi-tasking in a fast-paced and professional environment while consistently meeting deadlines with strong organizational skills and attention to detail
Ability to maintain and follow systems and checklists, and apply learning from one situation to other situations
Willingness to travel and staff Board of Directors Meetings up to 10-12 nights annually
