Executive Administration, Inc., an association management company in Arlington Heights, IL, seeks an experienced Administrative Assistant with strong communication and interpersonal skills to provide executive/administrative support and project oversight to the Academy of Osseointegration, a 5,000 member national professional association.
The successful candidate will have at least three years of experience serving in a similar capacity and possess strong written/verbal communication and organizational skills. Must be able to work well under pressure while maintaining great attention to detail and accuracy.
JOB DUTIES AND RESPONSIBILITIES:
Assist in preparing and distributing Board and Executive Committee meeting notices/agendas/packets
Assist with general records management and overall association administration.
Serve as recording secretary at leadership meetings of the organization, take meeting minutes and regularly update the compendium of Board actions.
Develop, edit and proof association correspondence.
Assist in the development of PowerPoint presentations.
Provide support on various projects
Manage the Academy’s calendar/schedule
Assist with the coordination and management of conferences and committee meetings.
Maintain all committee descriptions, rosters and terms of service in coordination with the volunteer leaders
Monitor annual meeting speaker travel including manifest and expense review.
Assist with proofing various publications and communications
Assist in collecting and interpreting statistical information relating to Academy’s surveys and other metrics for preparation and reporting purposes
Provide customer service to members
Assist with various on-site meeting functions.
Support the staff of the organization as needed
Minimum of three (3) years of administrative/executive support experience.
Previous experience working for a not-for-profit membership association, preferably a professional membership and/or health care related organization.
Excellent organizational, analytical, and administrative skills and the ability to take a pro-active, self-directed approach to projects.
Strong computer skills and proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and mail merge programs. Familiarity with iMIS databases a plus.
Thorough knowledge of general office procedures and practices.
Exceptional support skills, including the ability to respond to members, internal staff and others in a professional, knowledgeable, and friendly manner.
Excellent interpersonal, oral and written communication skills with attention to detail and the ability to prioritize and complete multiple tasks within established deadlines.
Ability and willingness to effectively work in a team-oriented, collegial environment
Ability to travel to local and national meetings (5-8 days/year).
